One of the Office of Research's key responsibilities is to facilitate contact between grant-seekers in the College of Liberal Arts and the Office of Sponsored Projects (OSP), ensuring that every proposal that leaves the College receives the full benefit of the University's research infrastructure. Time is always short when it comes to applying for grants, and the success of an application depends on careful processing and close attention to detail, as well as coordination and communication between the principal investigator, offices at the University of Texas, and the sponsoring agency. While we understand the unpredictable nature of many grant announcements and the demands of teaching and research on faculty and student schedules, adhering to the timeline below helps us provide you with the best level of assistance with your grant.
1-12 Months |
Feel free to notify us as soon as you know you will be applying for a particular opportunity. This gives us time to review guidelines and anticipate any special documentation or other special requirements. Advance notice helps us remove the stress of last-minute concerns, leaving you time to devote to the content, rather than the red tape, of your proposal. |
3 Weeks |
For a full COLA and OSP review, we strongly recommend that you notify us of your intention to apply for a grant 3 weeks in advance of the deadline. At this point, we will facilitate account accesses as needed and develop a timeline for review and submission of your full proposal. We are a high-volume office, so we will time-stamp your request and schedule time for review on a first come, first served basis. |
Within 24 hours of placing a request with our office, we need you to complete and return Proposal Review Form [PDF]. We'll submit this to OSP, putting you in their queue for proposal review. |
7-10 Business Days |
Final versions of all application documents are due to the COLA Office of Research no later than seven business days prior to the sponsor's due date. This allows our staff two days to identify any remaining issues before the grant is submitted to OSP. |
5-7 Business Days |
OSP Review. OSP requires four business days before the sponsor's deadline for full review. |
2-0 Business Days |
Proposal submitted to sponsor. |

Late Submissions: |
6-0 Business Days |
If you are not able to give sufficient advance notice of a grant proposal, we will work with you to obtain limited review from OSP. At this point, particularly during high-volume times of year, we can only facilitate your submission to the extent time allows. We will create your Proposal Review Form and obtain access to any necessary portals. You will be responsible for completing your application in the sponsor's electronic application system. Note: Grants that do not receive full OSP review at the time of submission are reviewed instead at the time of award. If there are problems with the application, OSP retains the right to refuse the award. |
